2. Scope
This notice covers the public company website, website and email enquiries and applications. Platform screenshots display demo/test data. Separate privacy information applies to registration and use of the employee platform.
3. Website hosting
Hostinger provides hosting for this website. Technical connection and access data are processed to deliver pages and protect the service. These include IP address, access time, requested URL, HTTP status and device, browser and any referrer information transmitted by your browser. The purpose is reliable, secure operation. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is providing and protecting our website.
Recipients include hosting and technical service providers, particularly Hostinger, and their subprocessors. Hostinger describes its processing arrangements in its Data Processing Addendum. Access data are retained only as necessary for service delivery, troubleshooting and security. Specific security incidents may require limited additional retention for investigation or legal claims. Technical logging depends on the purchased hosting service and its configuration.
4. Cookies and external content
We use no analytics or marketing cookies. Only when you select “Necessary cookies only” do we store fleetnow_privacy with the fixed value v21_necessary for 30 days. The provider is FleetNow GmbH; its sole purpose is to remember your requested privacy setting and avoid showing the notice again. The cookie is limited to this website (Path=/, Secure, SameSite=Lax) and contains no personal identifier. Legal bases: section 25(2)(2) TDDDG and, where personal data are processed, Article 6(1)(f) GDPR (providing your requested setting). You can delete the saved preference at any time through “Cookie settings”. Closing without saving sets no cookie. No optional services are currently integrated.
The website code supplied by FleetNow contains no analytics or advertising trackers, embedded social media or remotely loaded fonts. Apart from the preference cookie described above, it sets no cookies and uses neither local nor session storage. Language selection uses separate HTML pages. Images, system fonts, stylesheets and scripts do not require connections to advertising or analytics services. Application buttons open the application form on this website. The demonstration-enquiry form submits the name, company, email address, number of drivers, enquiry type, preferred time, area and optional message to the website server when you choose Send request. The server validates the request and forwards it by email to info@fleetnow-service.com so we can handle your enquiry as described in section 5. The form does not create a database of enquiries. For abuse prevention, a keyed hash of the connecting IP address and request timestamps are held in a temporary rate-limit file; entries older than 24 hours are discarded on the next request. The purpose is protection of our form and email service, based on our legitimate interest under Article 6(1)(f) GDPR. Server logs and received email remain subject to the retention criteria in sections 3 and 5. The interactive demo uses fictional records in page memory and resets when reloaded; it offers no document uploads.
Non-essential access to information on your device would require prior consent under section 25(1) TDDDG. Strictly necessary access may fall within section 25(2). External information links connect to the linked website only when opened.
5. Contact enquiries
When you contact us, we process your email address, name, message and any documents you provide to handle your enquiry. Article 6(1)(b) GDPR applies where processing is necessary to enter into or perform a contract with you. Other enquiries, including communication with representatives of other companies, rely on Article 6(1)(f); our legitimate interest is handling business correspondence.
Recipients are relevant company personnel and email/IT providers used for transmission and storage. Information is deleted after resolution when no longer needed, subject to statutory retention duties and necessary establishment, exercise or defence of legal claims. Statutory retention relies on Article 6(1)(c). Clicking an email link does not send a message; you must send it from your email application.
6. Job applications
The website application form collects first and last name, optional street and house number, optional address addition, postal code, city of residence, country, vehicle type, preferred work city, email and optional phone number. Tax identification numbers are not collected in the initial application. It sends these details through the website server to info@fleetnow-service.com for recruitment review. It does not create an employee account. The same temporary abuse-prevention controls described in section 4 apply. We process the contact and application information you provide, including experience, preferred location, vehicle type and availability, to decide whether to establish an employment relationship. The basis is section 26(1) BDSG and, where applicable, Article 6(1)(b) GDPR. Initially, please provide only information necessary for your application and avoid unnecessary health, bank or identity-document data.
Access is limited to personnel involved in recruitment and the email/IT providers used for technical processing. This website does not automatically forward applications to delivery platforms or business partners. Longer-term inclusion in a candidate pool requires separate consent.
Application information is deleted once recruitment is complete and the information is no longer needed to conclude the process or defend possible legal claims. Further retention for legal defence depends on relevant claim and procedural deadlines and relies on Article 6(1)(f). If employment begins, necessary information is transferred to personnel administration, which is covered by separate employee privacy information.
7. Transfers outside the EEA
Hosting and IT providers may operate international infrastructure or support arrangements. Transfers outside the European Economic Area require the conditions in Articles 44 et seq. GDPR, such as an adequacy decision or appropriate safeguards including EU Standard Contractual Clauses. Hostinger describes its arrangements in the Data Processing Addendum linked above. You may request information about the safeguards relevant to the specific processing and a copy through our privacy contact.
8. Your rights
Subject to legal conditions, you have rights of access (Article 15 GDPR), rectification (Article 16), erasure (Article 17), restriction (Article 18) and portability (Article 20). You may withdraw consent at any time with future effect without affecting the lawfulness of earlier processing.
Objection: Under Article 21, you may object on grounds relating to your particular situation to processing based on Article 6(1)(e) or (f). You may object to direct marketing at any time. Send requests to info@fleetnow-service.com.
9. Complaints
Under Article 77 GDPR, you may complain to a supervisory authority, particularly where you normally live or work or where an alleged infringement occurred. 10. Providing information and automated decisions
Information in enquiries and applications is provided voluntarily. Without information necessary to process the enquiry or application, we may be unable to handle it. Technical connection data are needed to retrieve the website. The website code does not perform profiling or automated decision-making with legal or similarly significant effects.
